First, let's get things straight. This is not a guide on how to get your Japan visa approved. If that’s what you’re looking for, you may refer to this post instead.
What I will walk you through is the actual process of applying for a Japan tourist visa, based on timing and preparation. If you find the process overwhelming, it's more practical to work with a travel agency that can handle everything on your behalf.
But if you're in for an emotional roller coaster ride, hop on. π
1. Start With Your Travel Date
Before anything else, determine your intended travel date.
This is important because your visa timing depends heavily on when you plan to enter Japan. Everything, from document preparation to booking an appointment, will revolve around this date.
So when is the best time to travel to Japan?
- Spring (March-May): mild weather, expensive flights and hotels, most crowded because of iconic scenery (sakura season) plus Golden Week in early May.
- Summer (June-August): rainy in June, humid and hottest season generally, moderate to high crowds (local travel peak during Obon festival).
- Autumn (September- November): crowds are moderate and weather is still hot and humid in September. In late October-mid December, weather is pleasant, crowds are high, and prices also rise in peak foliage season.
- Winter (December-February): Cold weather, crowds are low in December to early January but rise in February especially during Snow Festivals.
- Peak Seasons: Late March-early April (cherry blossoms), November (autumn foliage)
- Cheapest Times: January (after New Year), June, September
- Best Weather: April-May, October-November
- Best for Snow: January-February
2. Understand the “3-Month Rule”
Single-entry Japan visas have a validity of 3 months from the date of issuance. That means:
- If your visa gets approved too early, it might expire before your flight
- If you apply too late, you might not get your visa in time
The sweet spot is to apply within 2-3 months before your travel date.
There is no guarantee that you will be granted an ME visa. Some applicants who were previously granted ME have only received an SE visa in their most recent application. Even those with strong profiles suitable for ME are sometimes still issued SE. Visa issuance is entirely at the discretion of the consul, so it’s safest to assume that you are applying for a Single Entry visa.
3. Book Your VFS Appointment Early (Very Important)
Here’s the part that catches a lot of people off guard.
You should already be checking for VFS appointment slots 2–3 months before your planned application date. Again, not before your travel date, but before your application date.
Why?
- Slots can fill up fast, especially during peak seasons such as sakura (March-April), autumn (late October-November), and winter (late January-February)
- You might not find an available schedule when you need it
- This can cause expensive changes in your entire trip if you don’t plan ahead (for example, you need to rebook your flight because your visa did not arrive on time)
Tip: Make it a habit to check the VFS website regularly. Slots sometimes open unexpectedly.
4. Our Experience (Learn From My Mistake π )
This was our first time doing a DIY visa application since we had always relied with an agency before.
So here's what exactly happened to us.
Our travel date is on May 21st. Yes, we already booked our tickets in advance. Not recommended, I know. But we're glad we took the risk. We are a group of 7 people and waiting until the visas are issued would have made flights significantly more expensive (plus the unexpected Middle East crisis made the airfare ridiculously high than it already is).
But even before applying, I unlocked a whole new level of panic because I didn’t start looking for VFS slots early enough. Yep, that's the risk we were willing to take for booking a flight first. π
I should have started checking as early as December for February–March appointment slots.
So when January came, slots were no longer available. Not surprised there. Those wanting to travel in February and spring were scrambling for slots. So I checked again the week after and another, and still nothing.
I started reading horror stories of people struggling to secure slots as their travel dates got closer. I panicked.
Then checking for available slots became a routine. I would login every day at every hour. At one point, I was doing it so often that I got restricted from the site. So I created a second account just to be sure (I read some people created more than 3 accounts).
I also prepared all the booking details in advance so that if a slot did open, I could just copy-paste everything quickly. Because at this point, booking a slot is a race against time. If you’re not fast, someone else will take that slot.

Tip: The VFS booking system can be frustrating. Other than the website being glitchy, the details you enter aren’t saved. So every time you attempt to book a slot, you’ll need to fill everything out again.
I recommend using a laptop or desktop pc instead of your phone for a smoother experience. Also, prepare all your details in advance and save them in a text editor (like Notepad for Windows or TextEdit for macOS). That way, when a slot becomes available, you can simply copy and paste everything.
And to make things more complicated, I wasn’t applying for just one person. I was applying for 5 people.
Some days, when slots did open, they were only available for 2 to 3 applicants. So even if there were open slots, it still wasn’t enough for all of us.
And then, finally, it happened. On February 12 (6PM), slots for April opened.
I completed the process, filled out all the details, and proceeded to payment. However, I didn’t receive any confirmation, and the transaction stayed in a payment processing state, so I waited just to be sure. A few hours later, it eventually showed payment didn't push through.
Tip: When you encounter “payment processing,” don’t wait it out. Chances are the transaction has failed.
Then at around 3AM (February 13), I checked again. The number of slots dropped, but thankfully, there were still a few available.

And this time, even though there was technically a slot for five applicants, I still had to split the bookings. I did try booking all five in one go under the same slot, but it was always unsuccessful. So I applied for three applicants in one slot and two in another.
Tip: If you’re applying for a large group, it’s best to split your bookings. It may not be ideal, but based on my experience, it’s often the only way to secure available slots. You can still submit the applications together, provided they’re scheduled on the same day.
After weeks of checking, refreshing, and getting stressed out... I finally secured an appointment for five people for April 14. I paid Php520 for each applicant.
5. Be Prepared for Fees
While the Japan tourist visa issuance is free (gratis) for Philippine passport holders, VFS will still charge you with fees, depending on the service and slot availability. Basically, you're paying for the processing and service fees.
During peak season, regular slots may run out quickly, leaving Premium Lounge Service as the only immediate option, which comes at a higher cost but is often easier to secure when standard slots are gone.
So when you’re booking, be ready for both the fees and the possible need to choose upgraded services just to secure a schedule.

If you are going to avail the Premium Lounge, you will be paying for the Premium Lounge (Php 3,000) + the standard processing fee (Php 800) = Php 3,800.
What are the perks of the Premium Lounge Service?
Premium Lounge - A dedicated staff will assist and check your requirements. They can also help in filling out your form. You will wait on a private, comfortable lounge. Snacks and hot & cold beverages available at your disposal. Courier service for passport return and SMS notifications included. Photocopy, printing, photograph services can be availed without additional cost. You also have the option of submitting any missing documents before 16:00 (4PM) the same day.
Premium Lounge Plus - Includes all standard Premium Lounge services, with added priority lane access and more personalized assistance at the Visa Application Center. It offers a comfortable, business-class-style lounge experience with end-to-end support in a modern, well-appointed space designed for convenience and comfort.
Is the Premium Lounge worth it?
Well, I can't really vouch for how premium the Premium Lounge feels because I have not experienced it. And also, do note that the Premium Lounge service does not guarantee the success of your visa application or affect the standard service
But a Premium Lounge service makes sense if regular slots are no longer available and you’re short on time. Otherwise, a standard/regular appointment is more than enough. I had a regular slot myself, and the whole process at VFS took less than 30 minutes.
Do I need to opt for a courier?
For regular slots, you need to pay an additional fee for courier services. If you're based within the city, you can opt for passport pickup instead. Choosing courier delivery may also add an additional 2–3 days to the release time. However, if you live outside the city, courier service is usually the more practical and convenient option.
6. Prepare Your Documents While Waiting
Once you have your appointment date:
- Start gathering all required documents
- Double-check requirements specific to your visa type
- Make sure everything is updated and consistent
- All documents that you print and reproduce should be in A4-sized bond paper. ORIGINAL documents that you requested like bank certificate/statement, certificate of employment, certificate of enrollment, etc that are not in A4 are accepted.
Having complete documents will definitely make the process smoother.
7. Check Your Documents Thoroughly
VFS checks whether your documents are complete, but unlike some agencies, they don’t really review the details inside each document unless you've availed of their Premium Services.
I remember how a staff from Attic Tours once pointed out mistakes, discrepancies, and missing information in our documents when we applied for a visa before. That didn't happen in VFS. They just collected our documents and made sure it was complete. And that's it.
That’s why it’s really important to double-check everything yourself (or have your partner or someone else review it too). If possible, go through it multiple times.
8. Submit Your Application
On your appointment day:
- Arrive at least 15 minutes early.
- Bring all required documents.
- Gadgets and electronics are not allowed in the visa application center, only mobiles phones (in silent mode) are allowed.
- Make sure to print your appointment confirmation, as digital copies will not be accepted.
- If you are a representative of a large group, present authorization letters from the applicants along with a valid government-issued ID.
In our case, I booked two separate groups (10:30 AM for my three kids, and 11:00 AM for my mom and sister). I applied Multiple Entry for my kids and Single Entry for my mom and sister. Even though the appointments were split, I processed everything under one application. I also made sure to bring authorization letters from my mom and sister.
I arrived 30 minutes before my appointment time and was allowed entry around 10:15 AM. The entire process inside the visa application center took less than 30 minutes. The staff were friendly and accommodating, and the overall experience was smooth.
After submission, it’s just a matter of waiting.
Visa Application Timeline
A visa application usually takes less than a week to process. However, for applicants from Mindanao and the Visayas, it may take at least two weeks since documents are sent to and from the Japan Embassy in Manila.
This is our timeline:
Feb 13 - Slot secured
Apr 14 - Appointment date at VFS Davao
Apr 15 - Dispatched to ParaΓ±aque Operation Centre for processing
Apr 20 - Under process to the Embassy of Japan in Pasay
Apr 22 - Visa issued
Apr 23 - In transit from from the ParaΓ±aque Operation Center to the Visa Application Center
Apr 27 - Ready for collection

You may track your application online.
Will the tracker show whether my application has been approved or denied?
No. You’ll only know whether your application is approved or denied when you collect your passport and check whether there's a visa in it.
The back of your passport may also have barcode stickers, where the letters C, P, R, and T may also be written on it. What do these letters mean?
C - Courier. You opted for a courier/delivery service.
P - for Pick up.
R - Rejected/refused/denied.
T - Terminated. This means your visa application was submitted to the embassy, but the processing was discontinued. The possible reasons include but are not limited to:
- You were previously denied and reapplied too soon (without waiting six months for the same category).
- The Embassy of Japan requested additional documents, and you were unable to comply within the allotted time.
Final Thoughts
Applying for a Japan visa isn’t necessarily complicated. But timing is everything.
If there’s one thing you take away from this, it is to start looking for slots early. Because based on our experience, slots can be extremely limited. Waiting too long can cause unnecessary stress, and you might end up scrambling and not getting enough sleep like I did. π
But if you don’t want to go through all the hassle and inconvenience of applying on your own, you can always apply through a legitimate agency. The only drawback is that your passport will need to stay with them for an extended period (usually at least three months). This wasn’t an option for us because my mom had to travel to South Korea in late February.
